Information we collect on this website

When you book a demo on spotworks.in we collect the details you submit in the form — typically your name, work email address, phone number, organisation, and your preferred demo date. We do not collect payment information on this website.

Information we collect in the SpotWorks apps

SpotWorks is a workplace tool. Your account is created by your employer or facility administrator, and the data below is collected on their behalf to run facility operations:

• Account information — your name, phone number, work email address, role or designation, and the facilities you are assigned to.
• Attendance and location — when you punch in or out, we record the time, the QR code or facility scanned, and your device's precise GPS location at that moment. Location is captured only during attendance actions, not continuously in the background.
• Photos — photos you take or upload in the app as part of checklists, hygiene tasks, asset maintenance, audits, or tickets. The camera is also used to scan QR codes; scan frames are processed on your device and not stored.
• Work records — tasks, checklist submissions, meter readings, audit results, and similar operational entries you create in the app.
• Device data — a push notification token if you enable notifications, and standard server logs (IP address, user agent) kept for security and troubleshooting. For offline use, the app stores a copy of your pending scans and reference data on your device until they sync.

App permissions

The app asks for Camera access (QR scanning and task photos), Location access (attendance verification at punch time), and optional Notifications (alerts and reminders). Each permission is requested only when the related feature is used, and the app remains usable for other features if a permission is declined.

How we use and share this information

App data is used to operate the platform for your employer or facility management: recording attendance, tracking task and checklist completion, maintaining assets, and generating reports and alerts for authorised managers of your facility. Data is visible only within your own facility's account. We share data with the service providers that host and run the platform — cloud hosting and file storage on Amazon Web Services (Mumbai, India region) and email/SMS delivery providers — and otherwise only when required by law. We do not sell your personal information and the apps show no advertising.

Cookies and analytics

This website does not require an account and does not use advertising cookies. Standard server logs (IP address, user agent, pages requested) are kept for security and troubleshooting.

Security and retention

All data is encrypted in transit (HTTPS), passwords are stored hashed, and access is restricted by role and facility. Operational records are retained for as long as your facility's account requires them for compliance and reporting, and demo enquiries for as long as needed to handle your request and our business records.

Your rights and account deletion

You can ask us to access, correct, or delete your information at any time by writing to hello@spotworks.in. Because app accounts are managed by your employer, deletion requests for worker accounts are completed together with your facility administrator; we respond to all requests within 30 days. The SpotWorks apps are workplace tools intended for use by adults and are not directed at children.
